This policy explains how TrustDocs Avatar Studio (“we”, “us”), operated by TrustDocs Ltd [company number], of [registered address], handles your personal data when you use our website and video-production service. Information we collect
- Account details — your name and email address (your password is stored securely and never in plain text).
- Order content — the scripts, video titles, brand assets (logos, colours) and presenter choices you submit.
- Payment information — handled by our payment provider, Stripe. We never see or store your full card details.
- Enquiries — the message, email address and mobile number you provide through our enquiry form.
- Technical data — limited information such as your IP address and essential cookies needed to keep you signed in.
How we use it, and our lawful basis
- To provide the service and produce your videos — performance of our contract with you.
- To take payment and manage subscriptions — performance of our contract.
- To respond to enquiries and support requests — legitimate interests / your consent.
- To keep the service secure and improve it — legitimate interests.
Who we share it with
We use trusted service providers (processors) to run the platform, and only share what they need:
- Supabase — hosting, database and file storage.
- Stripe — payment processing.
- Resend — transactional email.
- Anthropic (Claude) — only if you use the optional AI script assistant, the text you ask it to write or improve is sent to generate a draft.
- HeyGen — used by our team to produce the finished videos.
Some providers may process data outside the UK; where they do, we rely on appropriate safeguards (such as UK/EU standard contractual clauses). We never sell your data.
How long we keep it
We keep your account and order data for as long as your account is active, and for a reasonable period afterwards to meet legal, accounting and dispute-resolution requirements. You can ask us to delete your account at any time.
Security
Access to your data is restricted and protected by industry-standard measures, including encryption in transit and access controls. No system is perfectly secure, but we take appropriate steps to protect your information.
Your rights
Under UK data-protection law you have the right to access, correct, delete, restrict or object to our processing of your data, and to data portability. To exercise any of these, email us at marketing@trustdocsltd.co.uk. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Cookies
We only use essential cookies — those needed to keep you signed in and the site functioning. We do not use advertising or third-party tracking cookies. Because these cookies are essential, they cannot be switched off within the app.
